Volunteering at the Woodstock Film Festival

We’re always seeking passionate, curious, and motivated volunteers to join our team.

Volunteering with WFF is a unique opportunity to gain hands-on experience at a respected nonprofit arts organization while connecting with filmmakers, artists, and industry professionals at every stage of their careers. Whether you’re supporting year-round programming or the annual festival, volunteers are essential to making it all happen.

As a WFF Volunteer, You Will:

  • Gain hands-on, real-world experience in independent film and festival production

  • Work alongside fellow volunteers and WFF staff in a supportive, creative, and often fast-paced environment

  • Build connections within the independent film and arts community

  • Develop new skills while contributing your existing strengths

  • Be considered for seasonal or festival leadership roles, when available

Volunteer Opportunities Available During These Time Periods:

  • Annual Festival: October 14–18, 2026 - In-person roles across venues including guest services, box office, production, transportation, press, photography, venue management, and more.

  • Year-Round Events + Other Opportunities - Support screenings, panels, community partnerships, marketing, and administrative projects (select in-person and limited remote roles available depending on department).

As a small nonprofit arts organization, volunteer opportunities are generally unpaid. We understand the challenges this presents and aim to make the experience as flexible, supportive, and meaningful as possible through the following benefits:

Emerging professionals, community members, and film lovers of all backgrounds are encouraged to apply. Must be 18 years or older. Current college students and recent college graduates are encouraged to apply for our internship program.

Volunteer Opportunities

We’re looking for individuals who are thoughtful, detail-oriented, dependable, and comfortable asking questions, taking initiative, and contributing in ways that align with their skills and interests. 

Volunteers may support our year-round office in Woodstock as well as screenings, special events, outreach initiatives, and festival programming throughout the Hudson Valley. Roles vary by department and season. 

*Annual Festival ONLY

Operations + Event Production – Supports on-the-ground festival logistics. This team keeps everything running smoothly behind the scenes through coordination, and production assistance. Expectations, skills and tasks include:

  • Set up and strike venues, hang pipe and drape, set up press areas and other equipment 

  • Strong communication, flexibility, and attention to detail

  • Pre-fest and post-fest required 

  • Supporting production coordination

  • Maverick Awards ceremony*

Press + Guest Relations – Supports both the press and guest relations teams through on-the-ground presence and coordination at festival events, particularly screenings with Q&As. Expectations, skills and tasks include:

  • Ensuring photographers arrive to venues on time

  • Monitoring filmmaker attendance at each event

  • Greeting talent and assisting them as needed throughout events

  • Coordinating with photographers to capture photos of talent

  • Working simultaneously with high-profile attendees, photographers, and venue staff

  • Answering questions with professionalism

  • Calm, friendly demeanor, ability to work in a fast-paced environment, and strong interpersonal skills

Photography – Captures photos during Q&As, panels, filmmaker interviews, around towns, and special events to document the festival experience. Expectations, skills and tasks include:

  • 1–4+ years of photography experience preferred

  • An eye for detail and proactive about capturing the best, candid moments and key-photo ops

  • Positive, friendly attitude when dealing with high-profile guests

  • Comfortable working in low-light event environments

  • Ability to use your own professional camera and editing equipment

  • Uploading and organizing/tagging images promptly to Flickr, Google Drive, Dropbox, and/or WeTransfer

Video / Editing – Films and edits video from screening events, interviews, and behind-the-scenes content to support archival and promotional needs. Expectations, skills and tasks include:

  • 1–4+ years of videography and/or editing experience preferred

  • Filming Q&As, panels, interviews, around towns, and at parties

  • Ability to use your own professional video equipment, computer and/or editing software – WFF has access to editing software via Adobe Creative Suite

  • Editing highlight reels and short promotional clips for Instagram, YouTube

  • Managing audio capture in live environments

  • Organizing footage for archives

Street Team – Engages directly with the community through grassroots outreach, flyering, and on-the-ground event support. Expectations, skills and tasks include:

  • Distributing flyers and materials to local businesses

  • Promoting screenings and events in designated towns

  • Representing the festival with enthusiasm

  • Comfortable walking, talking, and engaging the public

Ticketing & Ushering – Hands-on support for screenings, panels, parties, and special events throughout the year and during the festival. Expectations, skills and tasks include:

  • Ticket sales and scanning

  • Ushering and assisting guests at theaters

  • Problem-solving on-site logistics

  • Strong teamwork and adaptability

  • Comfortable engaging and working with the public and venue staff

Merch & Box Office* – Front-line support for ticket buyers and festival guests in WFF’s Box Office (13 Rock City Road), managing merchandise (T-shirts, hats, posters) at venues and the main box office*. Expectations, skills and tasks include:

  • Assisting guests with passes, seating, and questions

  • Merchandise sales and cash handling

  • Friendly, calm customer service under pressure

  • Accurate cash reconciliation at end of shift

Transportation* – Provides safe, timely transportation for filmmakers, important guests, between venues, airports, and train stations. Expectations, skills and tasks include:

  • Valid driver’s license (25+ with clean record preferred)

  • Comfort driving vans (including 12-passenger)

  • Transporting guests to/from NYC, airports, or venues

  • Shuttling filmmakers and patrons to and from screenings across towns

  • Flexibility with schedule and last-minute changes

  • Possible equipment transport (trucks/minivans helpful)

  • Ability to dedicate fully to the department during festival

Venue Manager (Leadership Role)* – Leads operations at a designated venue, overseeing volunteers, ticketing flow, seating, and communication with festival staff and venue owners. Expectations, skills and tasks include:

  • Working 8–9 hour shifts at a single venue

  • Tracking seat reserves and managing capacity

  • Training volunteers on scanning, ushering, and cash handling

  • Monitoring film schedules and turnaround between screenings

  • Counting and reconciling cash sales

  • Leadership experience, organization, and calm decision-making

Art Install + Construction Crew* – Builds and installs festival signage, décor, and branded elements across venues. Expectations, skills and tasks include:

  • Hanging banners and signage

  • Framing movie posters and art installations

  • Painting and set touch-ups

  • Using hand and power tools safely

  • Working on ladders or at heights

  • Lifting and moving heavy equipment
