The Woodstock Film Festival is seeking a highly organized, personable, and dependable individual to join our team for the 27th Annual Woodstock Film Festival, taking place Wednesday, October 14 through Sunday, October 18, 2026.
Overview
The Operations & Program Manager plays a central role in coordinating festival programming logistics and serving as the primary liaison for accepted filmmakers. This position requires exceptional organization, strong communication skills, and the ability to manage multiple moving parts across departments. Working closely with the Deputy Director, this role is a key hub of information, ensuring alignment between programming, communications, guest relations, and operations.
This position is based in our Woodstock, NY office, running from July 6 through October 23, 2026. Increased workload during the festival is expected.
Compensation: $25/hr with additional pay for extended hours during the week of the festival.
Key Responsibilities
Serve as the primary point of contact for all accepted filmmakers, managing communication throughout the festival
Oversee collection and accuracy of all film materials, ensuring readiness for program, press, and marketing use
Manage blurb writers, deadlines, and approval workflows in collaboration with copy editor and department heads
Act as a communication bridge across departments; relay critical information and updates to ensure all teams are aligned
Maintain clear documentation and timelines across all projects
Build and manage the festival film schedule in collaboration with programmers and Executive Director
Develop and coordinate the Q&A schedule, ensuring alignment with screenings
Share finalized schedules with all relevant departments and participants
Oversee the pass process and tracking system, ensuring all necessary information is collected and organized for badge creation
Coordinate with other departments on pass distribution and comp tickets
Support planning and execution of special programming
Ensure all logistical needs are met (signage, hospitality, staffing, coverage)
During the festival, serve as an on-the-ground operations lead; troubleshooting scheduling, Q&A coordination, and last-minute changes
Oversee distribution of materials (schedules, call sheets, etc.)
Other duties as assigned
Qualifications
Extremely organized with strong attention to detail
Ability to manage multiple timelines and priorities simultaneously
Excellent written and verbal communication skills
Must be comfortable taking ownership of workflows and improving them where needed
Comfortable working across teams and also independently
Advanced proficiency in Monday.com or similar project management tool required
Event or festival experience strongly preferred
Available to work flexible and longer hours during the film festival
Valid driver’s license and ability to travel between locations required.

The Woodstock Film Festival is seeking a hard working, extremely thorough, organized and detailed oriented, positive and outgoing Assistant to the Executive Director to join our team for the 27th Annual Woodstock Film Festival taking place Wednesday October 14th - through Sunday October 18th 2026 in Woodstock, NY and surrounding towns.
This position runs from July 6 – October 23, 2026 based out of our office in Woodstock, NY.
Compensation: $20/hour with additional pay for extended hours during the week of the festival.
QUALIFICATIONS/SKILLS:
College degree
Work experience as an Executive Assistant, Personal Assistant, office assistant, or similar role
Valid driver’s license and reliable transportation; must meet standard rental car eligibility requirements
PA diploma or certification is a plus
Knowledge, understanding, and interest in film are a significant plus
Has own accommodations near Woodstock a plus
Excellent computer skills (Google Suite, calendar management, MS Office)
Outstanding organizational and time management skills with meticulous follow-through
Excellent verbal and written communications skills and can communicate effectively and in a timely manner
Ability to prioritize and multitask and anticipate needs
Discretion and confidentiality, Attention to details, Calm under pressure
Available to work flexible and longer hours during the film festival
DUTIES/RESPONSIBILITIES:
Manage and prioritize the Executive Director’s schedule, ensuring alignment with festival priorities, meetings, and events
Providing a bridge for smooth communication between the Executive Director and other departments
Coordinate meetings, communications, logistics, and follow-ups with internal teams, filmmakers, sponsors, press
Track and manage key timelines, deliverables, and deadlines across departments, ensuring nothing falls through the cracks
Oversee and support planning for festival events, including panels, parties, awards, roundtables, and special programming
Assist in the development and accuracy of festival materials, including schedules, program content, and communications
Coordinate guest lists, invitations, RSVPs, and event logistics for VIPs, jurors, sponsors, and industry guests
Support awards process logistics, including juror coordination, materials distribution, and event preparation
Driving Executive Director to various venues throughout the festival
Other projects/duties as assigned for the overall benefit of the organization

ABOUT THE ROLE
This role oversees daily box office operations and ensure a smooth, welcoming, and efficient ticketing experience for all patrons. Be part of a dynamic, community-driven festival and play a key role in creating a positive and memorable experience for filmmakers and audiences alike.
QUALIFICATIONS + SKILLS
Relevant coursework or experience in sales, customer service, or arts administration (film or performing arts a plus)
Valid driver’s license and reliable transportation
Experience with databases and communication systems
Interest in film and the arts
Strong interpersonal, phone, and computer skills
Highly organized with the ability to multitask and prioritize in a fast-paced environment
Comfortable working under pressure with a calm, solution-oriented approach
Proficiency in Microsoft Office; experience with ticketing/CRM platforms (Eventive preferred)
Detail-oriented, reliable, and good with numbers
Flexible availability, including extended hours during the festival
RESPONSIBILITIES
Train, schedule, and support box office volunteers
Manage daily ticket sales, including cash and card transactions, reconciliations, and reporting
Process ticket orders via phone, email, and in person
Handle passes, comps, exchanges, refunds, and donation requests
Maintain a clean, organized, and well-stocked box office
Respond to inquiries and provide helpful, informed recommendations to patrons
Troubleshoot and resolve customer service issues efficiently and professionally
Assist with reporting and other administrative duties as needed

The Woodstock Film Festival is seeking a highly organized, resourceful, and dependable individual to join our team for the 27th Annual Woodstock Film Festival, taking place Wednesday, October 14 through Sunday, October 18, 2026.
This position runs from August 17 through October 23, 2026. The role begins with lighter coordination and ramps up in the weeks leading into and during the festival.
Total compensation: $4,000.
ABOUT THE ROLE
This position plays a key role in keeping the festival moving—literally! The Transportation Coordinator oversees transportation logistics for filmmakers and festival operations, from coordinating vehicle rentals and managing driver schedules to supporting guest travel and shuttle operations, you’ll be an essential part of the festival’s day-to-day flow. This role is ideal for someone who thrives in a fast-moving environment, enjoys solving logistical puzzles, and wants to be a critical part of bringing the festival experience to life.
QUALIFICATIONS + SKILLS
At least one year of experience coordinating logistics for live, multi-layered events
Strong organizational and problem-solving skills in fast-paced environments
Ability to manage multiple priorities and tight deadlines with composure
Excellent communication and leadership skills
Proactive, flexible, and willing to jump in where needed
High level of discretion and professionalism
Valid driver’s license required; must be 25+ to rent and operate vehicles
Availability for flexible and extended hours during the festival
Management or team leadership experience preferred; Professional driving experience preferred
RESPONSIBILITIES
Coordinate deliveries, pickups, and transportation logistics before, during, and after the festival
Book and manage vehicle rentals for the festival fleet
Work closely with the Guest Relations team to support VIP travel needs (flights, trains, buses)
Plan and oversee shuttle operations, including transportation to and from festival events and parties
Create and manage schedules for volunteer drivers
Drive filmmakers and industry guests as needed
