Woodstock Film Festival Dedicated E-Blasts

In order to build your eBlast, we will need a shared Google document with edit access at least 5-7 business days* prior to the send date, so there is time to build, test, approve, and schedule. 

*Business hours are Monday – Friday, 9 AM - 5 PM EST, excluding federal holidays.

We can accommodate up to 3 revisions, with the final revision no later than 4 days before the scheduled date of sending. All revisions must be made to the Google document in red or another color. Image swaps can be done with a faster turnaround time of 1-2 days).

Please provide the names and email addresses of those who will receive the TEST message draft and will grant final approval. A TEST will be sent to these contacts for review.

General Info

  • Audience Reach: 20K email subscribers + 13K Instagram followers

  • Cost: $2,500 per e-blast ($3,000 if confirmed within <5 business days of send date)

    • Organic Instagram Collaborative Post: $600

    • Bundle: $3,000 for e-blast + organic IG post add-on

Assets & Deadlines

  • All assets due AT LEAST 5 business days prior to send date, by 5pm EST

  • Test email or post draft sent for final approval no later than 2 business days prior to date

  • Up to 3 rounds of revisions; no changes allowed after final approval

Please provide a shared Google Doc (not an attachment) containing:

  • Subject line + preview text (as seen on mobile devices) 

  • Short descriptions + relevant headings, if applicable*

  • Press Quotes (links to articles optional) 

  • Film Synopsis + artwork 

  • Filmmaker(s) shortened bios (if relevant)

  • Hyperlinks to tickets (if relevant)

  • Filmmaker(s) Headshot (if relevant)

  • Company Logo on white background (if relevant)

  • Link to preferred film trailer (if relevant)

*If this is also a WFF event, not just an e-blast, a two line event description is required

Visual specs

  • PNG or JPG only (no PDFs)

  • Max 300kb per image (larger files will be compressed)

  • Width: 800–1000px

  • Attach images separately to your email; make text updates in the Google Doc (in red).

Payment Details

  • Cost: $2,500 per e-blast ($3,000 if within 5 business days)

  • $600 for an Instagram post, or $3,000 for the bundle ($3,500 if within 5 business days)

  • Payment options: ACH transfer (no fee), Credit card (+3% fee), or Check overnighted to: 13 Rock City Road, Woodstock, NY 12498 (USPS not accepted)

  • Payment due before send date (or within 30 days if multiple e-blasts in one month; $300 late fee after 30 days)
